Visibility Ridge · Dhaka, Bangladesh Contact: hello@visibilityridge.com
Effective date: 18 October 2026
1. Who we are
Visibility Ridge is an independent search engine optimisation agency based in Dhaka, Bangladesh. We work remotely with clients in the United Kingdom, the United States and elsewhere.
In this policy, “we”, “us” and “our” mean Visibility Ridge. “You” means anyone who visits this website or contacts us.
We are the data controller for the personal information described below. That means we decide why and how it is used, and we are responsible for it.
2. What this policy covers
This policy explains what personal information we collect through visibilityridge.com and through our business email, why we collect it, how long we keep it, and what rights you have.
It does not cover other companies’ websites, even where we link to them.
3. Information we collect
We collect only what you choose to send us. There are two ways to reach us.
3.1 When you contact us by email
If you email us, we receive your email address, your name if you include it, the contents of your message, and any attachments you send.
3.2 When you use our contact form
Our contact form asks for the following. Only the email address is always required.
| Field | Required | Limit | Notes |
|---|---|---|---|
| Name | Optional | 100 characters | Whatever you choose to give |
| Email address | Required | 254 characters | Needed so we can reply |
| Website address | Required for a review request; optional for a finding | 2,048 characters | Stored as text only — see §4 |
| Message | Required for a finding; optional for a review request | 2,000 characters | |
| What you are asking for | Required | — | A review or a finding |
When you submit the form we also automatically record:
- the date and time you submitted it, in Coordinated Universal Time (UTC);
- which version of this privacy notice you were shown, so we can prove what you agreed to;
- a reference number for your enquiry, for example `VR-2026-00350`.
4. Information we deliberately do **not** collect
This is a short list, and we keep it short on purpose.
- **We do not store your IP address.** To prevent abuse we apply a rate limit, but it works on a rotating one-way hash of an anonymised form of your address. The address itself is never stored, and it cannot be reversed back to you.
- **We do not store your browser fingerprint.** A shortened digest of your browser's user-agent string feeds the same one-way hash. The original string is not kept.
- **We do not set cookies on the contact form.** None at all.
- **We do not use third-party analytics, advertising pixels or tracking scripts.** There is no Google Analytics, no Meta pixel, no session recording on this site.
- **We never fetch or crawl the website address you give us.** It is stored as text and read by a person. We do not visit it automatically, and we do not scan it.
- **We do not buy, rent or scrape personal data** from anyone else.
5. How we use your information
We use it for three things only:
- To read and understand your enquiry.
- To reply to you.
- To keep a record of the conversation so that a later reply makes sense, and so we do not ask you the same questions twice.
We do not use your information for marketing, advertising, profiling, automated decision-making, or sale to anyone. We do not add you to a mailing list because you contacted us.
6. Our lawful basis for using it
We handle personal data in line with the principles of the UK General Data Protection Regulation and the EU GDPR, even though we are established in Bangladesh. We do this because many of our clients and enquirers are in the UK and Europe, and we would rather meet that standard everywhere than only where a regulator is watching.
Our lawful bases are:
- **Legitimate interests** — reading and answering a business enquiry that you sent to us. We have a genuine interest in responding to people who contact us, and this does not override your rights.
- **Consent** — where you have ticked or accepted a notice before a form submission, or where you have asked us to do something specific.
- **Legal obligation** — where we are required to keep or disclose something by law.
You can object to our use of legitimate interests at any time. See §10.
7. Who can see your information
- **Our staff and contractors** who need it to answer you. Access is limited to administrators of this website.
- **Our hosting provider**, which stores the website and its database.
- **Our email provider**, which delivers and filters our business email.
We do not publish your information anywhere on this site. It does not appear in search results, feeds, public pages or any listing.
We do not sell your information, and we do not share it with advertisers or data brokers.
We will disclose information if we are legally required to — for example in response to a valid court order — or where necessary to establish or defend a legal claim.
8. Where your information is stored, and who processes it
Website content and enquiries are stored in a database on servers operated by our hosting provider, Namecheap, in the United States. That database is private, is not reachable from the public internet, and is protected by access controls.
Email is handled by our hosting provider’s mail system, which also performs spam and malware filtering before delivery.
Transport — information sent to and from this site uses HTTPS. Email is transported using TLS where the receiving server supports it.
Because we and our providers are outside the UK and EU, your information is transferred internationally. We rely on the providers’ standard contractual terms and on the fact that the transfer is necessary to answer your enquiry. If you would prefer we did not transfer your information, tell us and we will deal with you by email only, or explain the alternative.
9. How long we keep it
Enquiries are kept for 24 months from the date of your last contact with us, and are then deleted.
We keep them that long because client work and enquiries often resume after a gap, and losing the history makes a later conversation worse for you, not better.
Where you ask us to delete something sooner, we will — see §10.
We keep ordinary business records, such as invoices, for as long as tax and accounting rules require.
10. Your rights
You have the right to:
- Know whether we hold information about you, and get a copy of it.
- Correct anything inaccurate.
- Delete it, where we do not need it for a legal reason.
- Restrict what we do with it while a question about it is resolved.
- Object to our use of it, including where we rely on legitimate interests.
- Receive it in a portable format, so you can move it elsewhere.
- Withdraw consent at any time, where consent is what we relied on.
- Complain to a data protection authority, if you believe we have handled your information improperly.
To exercise any of these, email hello@visibilityridge.com with “Privacy request” in the subject line.
We will respond within 30 days. We may need to confirm you are who you say you are before we act, and we will not charge you for a reasonable request.
11. Cookies
This website sets no cookies for visitors, and we use no third-party analytics or advertising cookies. That is why you will not see a cookie banner here.
If a cookie becomes necessary in future — for example to keep you logged in to an account area — this policy will be updated before it is used, and consent will be requested where the law requires it.
Your browser may store technical data on your own device for its own purposes, such as caching pages. That is outside our control and is governed by your browser’s settings.
12. Two limits you should know about
These are real limitations of how email and backups work. We would rather state them than imply a guarantee we cannot keep.
12.1 Email copies. When we reply, a copy of that email exists in our mailbox and on our email provider’s systems. If you later ask us to delete your enquiry, we can delete our website records and our mailbox copy, but we cannot reach into a copy that has already been delivered to your own inbox, or into a provider’s independent backup. Those copies are outside this application.
12.2 Backups. When we delete a record, it is removed from the live website. A backup taken before that deletion may still contain it until the backup itself expires. Backups are stored separately from the live site and are used only for recovery.
13. Security
We protect your information with access controls on the website and database, encrypted connections (HTTPS) between your browser and this site, and restricted administrator access. Our hosting provider applies server-level protections and spam filtering to incoming mail.
No system is perfectly secure. If a breach ever affected your information in a way that created a risk to you, we would tell you and the relevant authority as required by law.
14. Children
This site is aimed at businesses and professionals. It is not intended for children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us information, contact us and we will delete it.
15. Links to other sites
Where we link to another website, that site has its own privacy policy and we are not responsible for it. Read their policy before giving them your information.
16. Automated decision-making
We do not use your information for automated decision-making or profiling that has a legal or similarly significant effect on you.
17. Changes to this policy
If we change how we handle personal information, we will update this page and change the effective date at the top. Where a change is significant, we will make that clear on the page rather than quietly editing it.
The version you were shown when you submitted an enquiry is recorded with that enquiry, so we can tell you exactly which policy applied to you.
